A Service Scheduling Blueprint for Automotive Voice AI

Service scheduling is one of the highest-volume, most repeatable calls a dealership handles — which makes it a strong first workflow for voice AI. Here’s the blueprint we use to scope it.

1. Identify the customer and vehicle

Match the caller to an existing customer and vehicle record where possible, using approved lookup data. This removes the need for the caller to repeat information the dealership already has.

2. Understand the service need

Capture the routine service intent — an oil change, tire rotation, a recall, a diagnostic concern — along with any required details, mapped to the dealership’s opcodes.

3. Check available times

Query the connected scheduler (Xtime, Affinitiv, myKaarma, Update Promise) or DMS (CDK, Reynolds and Reynolds, Tekion) directly, and offer real openings rather than a generic callback promise.

4. Confirm and follow up

Write the confirmed appointment back to the scheduler, and send the customer a confirmation by SMS or email. Log the workflow outcome so the service manager can see completion rates, not just call volume.

5. Escalate the exceptions

Anything outside the defined workflow — a complex diagnostic concern, a complaint, a request the schema doesn’t support — routes to a service advisor with the context already collected, instead of starting the conversation over.
